This policy explains how information sent through the clinic's WhatsApp appointment service is handled.
The service may process your WhatsApp number, name, message content, appointment details, and reminder preference. It does not request payment-card information or provide medical diagnosis.
Message content, phone numbers, appointment details, and review drafts are encrypted at rest. Patient replies and calendar changes require administrative review. Access is limited to operating the appointment service.
Message content and completed review records are deleted after 30 days. Appointment records are retained while needed to provide the appointment service and meet legitimate clinical or legal record-keeping requirements.
Data is processed by WhatsApp/Meta, Cloudflare, OpenAI, and Apple iCloud only as needed to deliver messages, interpret requests, and maintain the appointment calendar. Data is not sold or used for advertising.
Reminders require consent. You may use the same WhatsApp conversation to stop reminders, correct information, or request deletion of eligible message data. Calendar and legally required clinical records may need to be retained.
